This page explains what is included, what the organiser must provide and what is required for setup.

Thank you for considering the Waimarino Shears Speed Shear Timing System for your competition. This booking pack provides information about our timing service and helps us gather the details needed to prepare. We hope you find the information clear and helpful as you work through the pack.

What we provide

  • Devices required for judging interaction with the timing system

  • Backup manual timing equipment, including stopwatches
  • Extension leads and cable reels required for our supplied equipment
  • Transport, setup, testing and pack-down of our equipment
  • A minimum of three Waimarino Shears personnel to operate the system
  • Competition entry forms, if required, to assist with competitor entries

What the organiser provides

Our staff operate the timing system. They do not undertake judging, competitor payment/entry handling or sheep-handling roles.

Space required

4.8 m wide × 2.9 m deep × 2.45 m high

The shearing board itself is 1.8 m from front to back. The 2.9 m overall depth is measured from the front edge of the board to the rear catching-pen fence.

Additional room is required around the stand for safe access and the timing-system operating area.

Setup and venue requirements

Allow approximately four hours for setup and testing, provided the required stage/setup area, power and other organiser-supplied infrastructure are ready when our team arrives.

For early-start competitions, setup may need to occur the day before. Equipment left onsite overnight must be kept secure and protected from weather.

Indoor setup is preferred. Waimarino Shears Incorporated may delay, stop or decline setup or operation where conditions present an unreasonable safety risk to people or equipment.

Competition entries

Waimarino Shears can provide the competition entry form if required. The organiser remains responsible for collecting entries, payments and sign-ins.

Hire fee and payment

The standard hire fee is NZ$750 plus GST. Travel to and from the event is included. A NZ$300 deposit is required no later than 14 days before the event. The remaining balance is payable within 7 days following completion of the event. Separate invoices will be issued for the deposit and remaining balance.

If the deposit has not been received by the due date following reasonable reminders, Waimarino Shears Incorporated may treat the booking as cancelled.

Accommodation

Accommodation is not included in the standard hire fee. Where accommodation is reasonably required because of travel, event timing or a day-before setup, Waimarino Shears Incorporated will arrange the accommodation and charge the organiser the actual accommodation cost in addition to the hire fee. Where reasonably possible, the organiser will be advised of the cost before the accommodation is booked.

Cancellation

If the organiser cancels before the Waimarino Shears team has departed for the event, amounts already paid will be refunded except for any non-refundable accommodation or other costs already incurred specifically for that booking.

If cancellation occurs after our team has departed for the event, the NZ$300 deposit is non-refundable. Any non-refundable accommodation costs already incurred also remain payable.

If Waimarino Shears Incorporated is unable to fulfil the booking, amounts paid by the organiser will be refunded.

Postponement

Where an event is postponed before our team has departed, the booking and deposit may be transferred to one new mutually agreed date, subject to Waimarino Shears Incorporated being available. If we are unable to service the proposed replacement date, amounts paid will be refunded except for any non-refundable costs already incurred.

If an event is postponed after our team has departed, the original NZ$300 deposit is retained. A replacement event date will be treated as a new booking and will require a new deposit.

Equipment and operating conditions

The organiser must take reasonable care to protect equipment supplied by Waimarino Shears Incorporated. The organiser may be responsible for reasonable repair or replacement costs where equipment is damaged through negligence, misuse or deliberate actions by the organiser, its personnel, competitors, or others for whom the organiser is responsible.

Waimarino Shears Incorporated may delay, stop or decline setup or operation where conditions present an unreasonable safety risk to people or equipment.

Electronic system availability: Waimarino Shears Incorporated will take reasonable care in setting up and operating the timing, judging and display equipment, but uninterrupted electronic operation cannot be guaranteed. Equipment, power, connectivity or other technical issues may affect electronic operation.

System failure and manual backup: If the electronic timing, judging or display system becomes unavailable or unreliable because of equipment, power or another technical failure, Waimarino Shears Incorporated may continue the competition using manual backup procedures. This may include stopwatches, pen-and-paper records and manual entry of times, points, results or draws. The organiser accepts that these manual procedures may be used for the remainder of the competition where required.

Competition operation

The organiser remains responsible for the running and administration of the competition, including judging, sheep handling, competitor entries, entry fees, sign-in, disputes, protests and competition rulings. Waimarino Shears personnel operating the timing system do not make, approve, verify or justify competition rulings.

Disputes, rulings and timing-system records: Any dispute, protest or question about a competition ruling must first be taken to the organiser and/or competition judges. If timing-system data or records are relevant, the organiser may then ask Waimarino Shears personnel to check or provide the recorded timing-system information. Waimarino Shears’ role is limited to the system data and technical record; the organiser and judges remain responsible for determining the outcome of the dispute or ruling.

Accuracy of competition information: The organiser is responsible for checking the accuracy and completeness of the booking details, Grade / Event Round Format information and confirmed Programme of Events before submission. Waimarino Shears Incorporated will configure and operate the timing system using the information supplied by the organiser and may rely on that information unless a change is notified directly.

Privacy and use of information

Personal information and competition information supplied through this booking pack is collected by Waimarino Shears Incorporated for purposes connected with the booking, communication with the organiser, event preparation, timing-system setup and operation, competition records, and technical or data queries relating to the event. Information will be used or disclosed only where reasonably necessary for those purposes, a directly related purpose, or where required or permitted by law. Waimarino Shears Incorporated will take reasonable safeguards to protect the information against loss, misuse and unauthorised access or disclosure, and will retain personal information only for as long as reasonably required for the purposes for which it may lawfully be used. Requests to access or correct personal information can be made by emailing Waimarinoshears@gmail.com.

Check the booking before saving it. The Booking File can be reopened in this pack later and will be used for timing-system import. The Booking Pack is a human-readable copy for your records.

Grade / Event Round Format — Help

This section tells us which rounds will be run within this grade or event and how competitors progress through those rounds.

Heats are always first and Final is always last. If the grade or event has extra rounds, add them between the Heats and Final.

Adding another round: choose “Add Another Round”, then select Quarter-final or Semi-final, or choose “Custom name” and enter the round name used by your competition.

Using the same round format: if another grade or event uses the same rounds, choose it under “Use the same round format as…” instead of entering every round again. After copying, check the sheep per shearer and number qualifying because these can differ between grades or events.
